Personnel Concepts Accelerates Growth with Capture Driven Business Process Automation

The Challenge...

In 2008, , Steve Slezak, Director of Quality Management - Direct Marketing Americas at Personnel Concepts set out to modernize the company’s order entry process with an automated information capture solution. Slezak explained, “We wanted to use technology as a reliable platform going forward -- one that could easily handle peak volumes and resolve resource issues, and that would be sustainable if the company doubled or tripled in size.” Slezak sought the expertise of long-time Kofax partner, Portford Solutions, to help identify, build and implement the right capture-driven technology solution. .

The Solution...

Working with Bradley Grell and Bruce Bolton, founding partner of Portford Solutions, the Personnel Concepts team defined the following basic requirements for their new automated order capture/order entry solution:

Speed and Capacity - Ability to handle 2500+ orders daily with a reduced headcount and no backlog
Flexibility - Capable of processing varied forms without disrupting operations
Accuracy - Proven ability to accurately read all document types including handwritten information, enabling fast and complete order verification
Performance - An easy-to-use solution that improves efficiency and operates without problems – no IT skills required
Scalability - A sustainable process and solution that would continue to be viable if the company expands rapidly

In August of 2008 when Slezak initially approached Portford Solutions, he had an aggressive goal in mind. He wanted a production solution in place, and his team trained, before the peak order cycle began in December. He also wanted assurance that the order entry volume that required 12 staffers in the past could be handled by no more than 1.5 full time employees with the new solution in place. Bolton, confident in Portford Solutions’ ability to define and customize a winning solution, provided Slezak with a “success clause” that included a money-back guarantee if his primary objectives weren’t met. The initial evaluation cycle was accelerated in order to achieve the timing objective Slezak set forth. Portford Solutions presented three potential platforms and Kofax quickly became the frontrunner for its proven capabilities. Post-evaluation, Portford Solutions recommended a customized solution based on the Kofax Capture software platform and Kofax Transformation Modules (KTM). According to Bolton, “Kofax was a more mature solution, well-proven with thousands of customers in production. We felt very comfortable recommending Kofax to Personnel Concepts.” Before the decision could be finalized, Portford Solutions demonstrated the Kofax solution to the Personnel Concepts team. Personnel Concepts’ head of IT evaluated the architecture on how well it fit within the company’s existing environment and operations team members assessed how usable the solution would be on the floor. “We all knew that because the solution would displace some staffers, it had a very high bar to clear. It had to work.” Because there was no room for error, the support for the Kofax solution over any other was unanimous. Portford Solutions immediately created a detailed implementation plan that Personnel Concepts signed off on. Included in that plan was some customization and the very important “success clause.” Within four months of their initial meetings with Portford Solutions, Personnel Concepts had a new, Kofax-based order entry solution in full production, just before their order volume increased by 130% during peak season. Additionally, Portford Solutions posted an engineer on site to ensure the Personnel Concepts staffers didn’t encounter any problems as they ramped up on their own. “From the outset, orders were processed same day in, same day out, with no carryover and no backlog,” said Slezak. “It was well executed.”

The Result...

Today, 1.5 full time employees are able to routinely handle the same peak volume that formerly required 12 staffers. The process now includes batching order cards into stacks of 50, then scanning them into the Kofax Capture system. The order entry staff then views and validates orders on the highly user-friendly, 25-field order screen which was customized for them by Portford Solutions.“The accuracy and reliability of our new solution is extremely high,” noted Slezak. Once an order is validated, it is released and a CSV file is created, which then automatically is uploaded into Personnel Concepts’ main system where the order is built. The Sales team then calls every customer to verify the information on their order. Because the outbound Sales team is now able to receive their orders sooner and view an image of the actual order card for accuracy, they are perceived as more responsive, improving customer satisfaction. “Kofax was the perfect solution at the right time for Personnel Concepts,” commented Slezak. “Teaming with Portford Solutions to customize and implement our Kofax solution resulted in such measurable process improvements and cost savings that our Ontario office has gained global exposure as a technology.

Document Management Systems, does one size fit all?

Over the years document management software vendors have tried to produce a platform to meet the requirements of the entire enterprise, in all document management categories. An early philosophy was to centralize every piece of content into one repository. More conventional thinking is to have different systems to more comprehensively meet the requirements of the enterprise while unifying the user experience via portal technology.

The different document management categories:

Core Document Management - This can be considered an extension to the corporate file-share, organizing documents with a defined taxonomy (attributes, security, foldering, categorization etc). Library management controls the version control of documents, with audit trails and security providing a foundation for compliance
Web Content - This category focuses around web content authoring and delivery, and allows sites to be organized into static and dynamic content delivery with real-time site updates
Imaging Management (Transactional) - This category can sometimes be called transactional document management (documents resulting from a business transaction, such as invoices, POs, Bill of Laden, Patient Records, Loan Documents etc). These systems are designed to manage a high-volume of fixed content and as the documents can be large these system can have technology to deliver small sections of the documents to client at a time to increase performance. Report management can often be in this category, which is sometime called COLD and is a technology that ingests, separates and extracts data from reports produced from business applications
Collaboration - Can be considered an extension of the Core Document Management category and includes content into different collaboration methods, such as blogs, wikis, discussion groups, and web content based presentation to allow team of users to interact and work with the content
Capturing Content - All the above system categories need a way of getting content or documents into them, and this category is often overlooked but can be considered one of the most important aspects. The more content that is under the control of the system, the more value it has

When selecting a system, you have to compare your requirements against the different categories as you may not need all components. Also, if you do select different components from different vendors, make sure you have a way of unifying user access.

EMC World Debrief

I attended EMC World and just wanted to give my thoughts on the different sessions and messaging around the software supported by EMC's Intelligent Information Group (IIG).

On the "classic" Documentum products, the message is client unification with development moving firmly towards the Documentum Foundation Services (DFS) model and away from the WDK environment. CenterStage is becoming their main focal point of the web presence and as this does not have feature parity with WebTop or eRoom quite yet, the product management team emphasized that this was a journey as many customers have invested heavily in WDK based customizations. The mobile strategy is progressing with an iPad application promised by the end of the year. Work will also be done to unify the development tools surrounding the platform to make it easier to build Documentum based applications. The xCP platform still plays a large part of the strategy with a focus for partners to build industry specific business process solutions.

For collaboration users, eRoom will have another release towards the end of the year that will support the Microsoft Windows 2008 and SQL Server 2008 platforms, along with other technology certifications.
The messaging around the cloud was definitely the primary tagline, with all product families having some sort of cloud based access in their product roadmaps.

For transaction document management users, EMC's ApplicationXtender(AX) platform is here to stay and supports a roadmap that included more workflow enhancements and again more focus is on the client tools and UI. A new connector application is planned that will more tightly integrate AX with the desktop and document access from business applications. Although the technology roadmap remains Microsoft based, the AX team have made a significant move towards web services with a feature rich services based toolkit. Also many of the new applications are based around the web services approach.
Integrations were also announced with Box.net (http://www.box.net/) for cloud based storage access and with Cisco's WebEx (http://www.webex.com/) online collaboration tool.

EMC, IBM, and Microsoft have been working together to develop a specification which uses Web Services and Web 2.0 interfaces to enable applications to inter operate with multiple Enterprise Content Management (ECM) repositories by different vendors. The companies intend to submit the Content Management Interoperability Services specification to OASIS (Organization for the Advancement of Structured Information Standards) for advancement through its rigorous standards development process.

The ultimate goal of CMIS is to dramatically reduce the IT burden around multi-vendor, multi-repository content management environments. Currently, customers must spend valuable time and money to create and maintain custom integration code and one-off integrations to get different ECM systems within their organizations to "talk" to one another. The specification will also benefit independent software vendors (ISVs) by enabling them to create specialized applications that are capable of running over a variety of content management systems.

Working together since late 2006, the three companies were joined in the creation of the CMIS draft specification by other leading software providers including: Alfresco Software, OpenText, Oracle and SAP. A final gathering of all seven companies was recently held to validate interoperability of the specification before submission to OASIS.

When Microsoft released Windows Vista three years ago we all heard about or personally experienced how Vista was crippling otherwise powerful computers with excessive system requirements and a wide range of other issues. Confronting SharePoint Implementation Challenges

Organizations are increasingly leveraging SharePoint to enable effective document collaboration while making documents available. While a great tool for any organization, SharePoint is not necessarily the right tool for storing all document types. For customers with large volumes of documents and with fixed document types, ApplicationXtender continues to provide capabilities not available in a traditional SharePoint environment.
SharePoint has a number of strong features to support portal and collaborative requirements. In large scale deployments however, organizations often find that SharePoint does not address all of the requirements for content management.

SharePoint relies upon Microsoft SQL Server databases for storing both content and metadata. This reliance upon SQL databases makes SharePoint difficult to manage and hack up, especially as it scales to store large numbers of documents. In addition, high-availability requirements, such as replication, mirroring, and clustering, are limited and difficult to configure.
For customers that scan moderate to high volumes of documents or need to store millions of documents, SharePoint may require more than one repository. This introduces challenges to organizations that need to provide a single point of access for all documents.
SharePoint does not provide imaging features. SharePoint user interfaces are not able to view all common image formats nor does it support image enhancement functions required to improve the quality of scanned images, such as line and border removal, de skewing, noise removal, and rotation.
SharePoint has limited facilities for developing and executing complex processes in highly scalable environments, requiring extensive customization or reliance upon third-patty tools to provide effective automation and routing.

Finance Industry Setting Trends in Document Imaging

Recent AIIM research indicates that many in the financial, banking, and insurance industries (FBII) operate highly-sophisticated in-house scanning and capture operations. This would appear to make sense, given the fact that these industries were among the first to embrace sophisticated information technologies, dating back to the early 1960s and beyond.
The overall demand for going paperless in this sector, however, is unambiguous, as was sharply articulated in a 2008 interview with John Chickering of Fidelity Investments, one of the largest financial houses: “(Our) storage volumes are growing by leaps and bounds. The research data I’ve seen quote 30 percent annually. That means we’re doubling faster than every three years.

“The more volume we have to manage, the harder it is for us to find what’s important, and so I think we as an industry need to address the volume issue.” A best practice, adds Chickening, “is to embed in the capture of documents (and their use in running a process), the things you need to manage the documents throughout their lifecycles.”
Traditionally, scanning and capture has been considered technically challenging. Achieving high throughput at minimum cost has required specialized machinery and skilled staff, hence the prevalence of service bureaus and outsourcers.

As a result there has been reluctance in various sectors to invest in onsite capture technology, relying instead on low offshore labor rates and cheaper communications, enabling a combination of onshore scanning, with offshore remote keying into corporate legacy systems. But that is changing, as revealed in the AIIM data below.

67 percent of respondents do not outsource any scanning or capture services.
72 percent of all respondents have a centralized scanning and capture facility.
72 percent also use distributed capture within their organizations (multifunction peripherals, desk-top scanners, branch-office and field-office scanning).
The strongest drivers for scanning and capture are “Improve process throughput (efficiency)” 64 percent; “Records security and accessibility (compliance)” 56 percent; “Improve speed of access (customer service)” 52 percent; and, finally, “Improve searchability/findability of business documents (knowledge management)” 46 percent.
The three largest “barriers to greater strategic adoption of scanning and capture” were “Justifying the investment – demonstrating ROI,” 44 percent; “Resistance to change,” 40 percent; and “Still thought of as scan-to-archive, not scan-to-process” 40 percent.
51 percent of respondents reported return on investment (ROI) on scanning and capture investments within 12 months or less, with an additional 18 percent reporting ROI within 18 months.
66 percent index and store scanned images and electronically generated files in the same system.
80 percent of respondents do not store “significant numbers of scanned images” in SharePoint.

Quickly Scan Your Documents with the ApplicationXtender Capture Package

Among the thousands of ApplicationXtender implementations there are hundreds of capture solutions being used from 3rd party manufacturers or custom solutions. Among the most common tools for desktop scanning is Image Capture (formerly known as scanxtender). When EMC purchased Captiva Software in 2006 the AX roadmap included plans to gradually replace Image Capture with Captiva's powerful desktop scanning application, Quickscan Pro. Customers had grown accustomed to the simplified batch scanning and indexing in the AX desktop client so Image Capture has remained a supported component of every AX software release. For some AX customers scanning documents through Kofax Ascent Capture (now called Capture) a separately licensed enhanced release script was required to submit documents to full text recognition. The EMC Documentum xCelerated Composition Platform (xCP) is the essential application development platform that enables you to quickly build dynamic case-based applications. EMC World Overview

Thousands of EMC customers and partners attended EMC World in Boston May 10th - 13th and had the opportunity to attend 91 presentations on Documentum and 2 presentations on ApplicationXtender. EMC's Content Management and Archiving (CMA) family of products (which includes Documentum, Captiva, and ApplicationXtender) has been changed to the Information Intelligence Group (IIG). While the overall them of EMC World was "Journey to the Private Cloud", the theme for Documentum was the xCelerated Composition Platform (xCP) which is a combination of Business Process Management, TaskSpace, and Forms Builder Tools. See the following article in this newsletter for more details on xCP.

Many feel that Centerstage still lacks some of the document management functionality found in Webtop and some collaboration features the eRoom provide. EMC continues to focus development on Centerstage which has now been available for two years in limited and wide release. Next year EMC plans to make the SDK for Centerstage available which should lead to a much wider adoption among Documentum customers.

Overall, Documentum and ApplicationXtender were not the major focus at EMC World which is why Portford provides our customers regular webex seminars, a content rich support portal, and our blog keep our customers current on the issues and products that concern them the most.

Keep Track of Capture with the DocuNECT Dashboard

Portford is pleased to announce the release of the DocuNECT Capture Dashboard (v2.3). The dashboard provides a complete summary of the entire DocuNECT system, including:

1) Alerts for system issues, such as connectors that are not active or running, connectors that have an error, and batches that have errors.

2) Status information can also be emailed. If the email function is switched off an email will still be received if any system issues are found. The email distribution can have multiple email addresses.

3) Provides a System Issues summary section at the top of the HTML and Email that provides areas that contains issues.

4) Monitors storage space, providing a warning if any of the storage locations have less than 25% capacity free.

5) Reports the current version of the database and CaptureLifecycle runtime as well as displaying latest released version from Portford's web site.

6) Deletes connector logs before a certain number of days to allow a rolling window of connector logs to be kept.

7) Backs up configuation information. All the Cabinets, CaptureLifecycles, and all the "Last Run" Connector Logs. These are also included as attachments on the status email to allow this to be forwarded onto support if required

In January, Kofax announced the release of the latest version of it's popular Capture software, formerly know as Ascent Capture. Capture is commonly used to scan, index, and distribute documents in to ApplicationXtender and Documentum. The following are among the features available in Capture 9.0:

Document Compression and OCR Server

AIIM Study on Capture: Local, Central, Outsource - What's Working Best?

AIIM (www.aiim.org) is the community that provides education, research, and best practices to help organizations find, control and optimize their information. For more than 60 years, AIIM has been the leading non-profit organization focused on helping users understand the challenges associated with managing documents, content, records and business processes.

This survey was taken by 882 individual members of the AIIM community between November 3rd and November 17th, 2009, using a Web-based tool. Invitations to take the survey were sent via e-mail to a selection of the 65,000 AIIM community members. information and records management professionals, IT staff and line of business executives. Here is a summery of some interesting findings from this survey.

- Centralized in-house scanning and mailroom scanning are set for a considerable growth in take up compared to outsourced scanning and capture.

- Distributed scanning on MFPs is set for some growth compared to desktop scanning.

- Also set for a considerable increase is automated recognition via OCR, ICR, etc and automated classification.

- Despite the long term preferred strategies, sales next year of dedicated scanning hardware is set to drop, with MFPs just holding their own. Capture software and modules are the only areas of spend set to rise.

- Knowledge management in the form of improved searchability of business documents is the highest driver for scanning, closely followed by compliance and business process improvement.

- 46% of users report ROIs within 12 months, with two-thirds seeing returns within 18 months. These are consistent across many types of content and process, with invoices, contracts and application forms being the most popular.

- Legal admissibility of scanned documents is still seen as an issue in over a quarter of businesses.

- 30% of the sample use outsourced services, citing “No staff management overheads” as the main benefit, along with cost per scan.

- Integrating the scanned files back into the internal system is a bigger outsourcing issue than security breaches or lost documents. Quality of indexing is an issue for 30%.

- 48% of respondents have a centralized, in-house scanning service, citing better indexing and closer integration with the process as the main benefits.

- Meeting demands for fast turnaround is given as the biggest issue with central scanning operations, followed by logistics and space problems.

- 78% of those surveyed have some form of distributed scanning via MFPs, desk top scanners or branch-office scanners. Ownership of the process by the line of business owners is given as the main advantage, as well as improved utilization of MFPs.

- The biggest drawback of distributed scanning is training staff to index properly and maintaining quality of indexing over time.

- Whilst 32% of organizations report that the consumption of paper and/or number of photocopies is still increasing, this is equally balanced by those who feel it is decreasing.

- 25% of scanned documents are photocopied prior to scanning. Only 31% of scanned documents are destroyed after scanning, with a further 32% being archived off-site.

- Only 38% of paper-originated records are scanned and archived electronically.

- 51% of scanned documents are 100% “born digital”, i.e., come direct from a printer.

- 37% of organizations are scanning over half of their incoming documents. 12% scan more than 80%.

- As regards accurate recognition and capture, on average 6.5% of scanned documents are rejected at QA or require intervention.

DocuNECT v4.2 Released

Portford Solutions announces the release of DocuNECT v4.2 which provide a platform for electronic docment capture and data extraction.

The new version brings with a number of new enhancements, including:

1) Updated Web Gui, included custom HTML pages to provide a more intuituve experience for the user.
2) Update Capture Lifecycle that include advanced capture rules for images and electronic documents.
3) Distributed indexing model. Now users can index documents directly from a link in a email which is ideal for multi-function devices.
4) Updated barcode recognition libraries.

But are most companies properly governing how their information is used, shared, and analyzed? The Economist Intelligence Unit recently conducted a survey of senior executives around the world on the benefits, challenges, and risks associated with developing an enterprise-wide information governance strategy.

The information that companies are busily generating, collecting, and mining offers a wealth of potential benefits. However, its use carries substantial risks. As a result, some organizations are forming formal governance bodies to create strategies, policies, and procedures surrounding the distribution of information inside and outside the firm. DocuNECT for Credit Unions

Credit Unions were among the earliest adopters of Portford's DocuNECT software (formerly called Content Migration Server) due to the fact that they have complex requirements like major banks but are much more cost conscious. Like major banks, Credit Unions offer their members a wide range of products and services. Unlike major banks, however, Credit Unions are not for profit so the need to automate the capture and distribution of member documentation in the most cost effective way possible has made DocuNECT a perfect fit.

Based on the requirements of several AX Credit Union customers Portford developed strong integration capabilities with IMM, a company that produces a number of solutions for the banking industry (electronic forms, check 21, cash receipt solutions, etc). DocuNECT integrates with IMM software to provides seamless capture into ApplicationXtender.

DocuNECT can also help Credit Unions produce reports and member statements and archive them directly into ApplicationXtender. Some Credit Unions outsource the management of reports and statements. DocuNECT provides an flexible capture platform to capture these documents as PDFs which accurately represent the documents physically received by members. Other features such as the Virtual Print Driver and the AX recycle bin have been developed and refined based on the requirements of Credit Unions. It is fair to say that many of the features and capabilities in the DocuNECT capture platform for AX are direct results from working with our Credit Union partners.

eDiscovery and Information Management

eDiscovery is the process of collecting, culling/tagging and exporting electronic content that answers specific questions or requests resulting from an audit, law suit, or due diligence. This is obviously not a new concept as organizations have been trawling through paperwork looking for the right information for years, but what we are talking about here is moving this into an electronic platform. So what information may be electronically discoverable? Any information is the answer, which thanks to technology is increasing all the time. Information can exist on network file-shares, collaboration portals such as SharePoint, document management systems, email systems, instant message systems, hand-held devices, laptops etc.

In short eDiscovery solutions help organizations collect and categorize information stored in these different repositories. The ROI is unquestionable in certain situations, however, organizations can go a long way to implement an information management strategy to lessen the burden of eDiscovery.

The following points need to be taken into consideration:

1) eDiscovery works well if the information is electronic. If you have information on paper then this will either need to be digitized, or you will need to use the “old school” approach to discovery…or use both. So the first stage is to understand where your information exists.

2) You may have solutions like SharePoint co-existing with document management systems and network file-shares. The second stage is to understand what system manages which type of documents. Strategically there may need to be a consolidation of systems to simplify the architecture.

3) Should employees be storing information on their local machines/devices or should all the information be stored and managed centrally? Put together a security policy for taking the different types of documents outside of the organization. Perhaps consider an Information Rights Management solution to protect/control sensitive information from leaving the organization.

4) Implement a records retention policy that is guided by regulation and compliance. As more regulations are being put in place to govern content, a strong policy will make sure that all information is present and can be made available during discovery.

EMC announced it has signed a definitive agreement to acquire privately-held Kazeon Systems, Inc.– a leading eDiscovery software provider for corporations, legal service providers, government entities and law firms.

With Kazeon, EMC will be able to offer end-to-end, in-house eDiscovery and litigation readiness solutions as part of the EMC SourceOne family for integrated but modular eDiscovery, archiving and compliance. Kazeon allows organizations to quickly and reliably identify, preserve, collect, process, analyze and review information in accordance with the widely accepted EDRM (Electronic Discovery eference Model) framework. Core to Kazeon is its ability to handle Electronically Stored Information (ESI) that resides anywhere in the enterprise environment -- including content on laptops, desktops, content management repositories (including, EMC Documentum and ApplicationXtender), Microsoft SharePoint and Exchange, Lotus Domino, email archives and file shares.

The Kazeon offering is available as an appliance, enabling organizations to quickly deploy the solution. This enables Early Case Assessment (ECA) to determine case merit and legal strategies, possibly avoiding costly legal fees. Kazeon’s targeted collection capabilities ensure avoidance of the classic problem of over-collection which often leads to high retention and review costs. In addition, Kazeon’s legal hold management capability ensures no erroneous deletion of data and its metadata. Further, the Kazeon solution is capable of performing fine-grained analytics, including concept-based search and analysis, and offering a collaborative review platform for distributed reviewers.

Kazeon enables organizations to take a proactive approach to eDiscovery. The same solution that enables end-to-end, in-house eDiscovery can also be leveraged for the policy management of information that resides in multiple disparate systems across the enterprise. Kazeon is unique in its ability to identify and classify information and take appropriate action, such as preservation, deletion or migration of documents into EMC storage for litigation hold, and EMC Documentum for records management.

The acquisition will further strengthen the power of EMC’s SourceOne portfolio. EMC SourceOne is an integrated family of products and solutions for eDiscovery, archiving and compliance. Unlike other offerings, SourceOne offers solutions that solve particular customer challenges today, and -- in conjunction with the Data Loss Prevention capabilities offered by RSA, EMC’s security division -- EMC can now offer customers an industry-leading set of capabilities for discovering, classifying and managing information, enabling a full information governance strategy for the future. Each of the SourceOne offerings stands alone, but also integrates in a modular way with each other to provide a comprehensive solution.
