Is Your Document Imaging Environment Ready for Windows 7?

When Microsoft released Windows Vista three years ago we all heard about or personally experienced how Vista was crippling otherwise powerful computers with excessive system requirements and a wide range of other issues. For many organizations these issues were reason enough to simply ignore the new OS and carry on using and ordering new PCs with XP. As XP machines reach the end of their service life and companies like Dell have halted the sale of XP loaded PCs customer are now moving to Windows 7. Though not as revolutionary in appearance as its predecessor, Microsoft has made good on promises of long-awaited refinements, including better performance and better driver and hardware compatibility in Windows 7. Confronting SharePoint Implementation Challenges

Organizations are increasingly leveraging SharePoint to enable effective document collaboration while making documents available. While a great tool for any organization, SharePoint is not necessarily the right tool for storing all document types. For customers with large volumes of documents and with fixed document types, ApplicationXtender continues to provide capabilities not available in a traditional SharePoint environment.
SharePoint has a number of strong features to support portal and collaborative requirements. In large scale deployments however, organizations often find that SharePoint does not address all of the requirements for content management.

  • SharePoint relies upon Microsoft SQL Server databases for storing both content and metadata. This reliance upon SQL databases makes SharePoint difficult to manage and hack up, especially as it scales to store large numbers of documents. In addition, high-availability requirements, such as replication, mirroring, and clustering, are limited and difficult to configure.
  • For customers that scan moderate to high volumes of documents or need to store millions of documents, SharePoint may require more than one repository. This introduces challenges to organizations that need to provide a single point of access for all documents.
  • SharePoint does not provide imaging features. SharePoint user interfaces are not able to view all common image formats nor does it support image enhancement functions required to improve the quality of scanned images, such as line and border removal, de skewing, noise removal, and rotation.
  • SharePoint has limited facilities for developing and executing complex processes in highly scalable environments, requiring extensive customization or reliance upon third-patty tools to provide effective automation and routing.
  • Sharepoint provides no capability for archiving old, infrequently accessed content that must be retained for e-discovery, compliance, or long-term preservation. Disconnected silos of SharePoint content are rarely controlled in accordance with corporate policies and external regulations.
  • Without relying upon third-party applications, SharePoint does not address the lifecycle of content, especially at its "beginning (document capture) and "end" (publishing, retention management, and archiving).

Automated AP Solutions Made Affordable

Finance Industry Setting Trends in Document Imaging

Recent AIIM research indicates that many in the financial, banking, and insurance industries (FBII) operate highly-sophisticated in-house scanning and capture operations. This would appear to make sense, given the fact that these industries were among the first to embrace sophisticated information technologies, dating back to the early 1960s and beyond.
The overall demand for going paperless in this sector, however, is unambiguous, as was sharply articulated in a 2008 interview with John Chickering of Fidelity Investments, one of the largest financial houses: “(Our) storage volumes are growing by leaps and bounds. The research data I’ve seen quote 30 percent annually. That means we’re doubling faster than every three years.

“The more volume we have to manage, the harder it is for us to find what’s important, and so I think we as an industry need to address the volume issue.” A best practice, adds Chickening, “is to embed in the capture of documents (and their use in running a process), the things you need to manage the documents throughout their lifecycles.”
Traditionally, scanning and capture has been considered technically challenging. Achieving high throughput at minimum cost has required specialized machinery and skilled staff, hence the prevalence of service bureaus and outsourcers.

As a result there has been reluctance in various sectors to invest in onsite capture technology, relying instead on low offshore labor rates and cheaper communications, enabling a combination of onshore scanning, with offshore remote keying into corporate legacy systems. But that is changing, as revealed in the AIIM data below.

  • 67 percent of respondents do not outsource any scanning or capture services.
  • 72 percent of all respondents have a centralized scanning and capture facility.
  • 72 percent also use distributed capture within their organizations (multifunction peripherals, desk-top scanners, branch-office and field-office scanning).
  • The strongest drivers for scanning and capture are “Improve process throughput (efficiency)” 64 percent; “Records security and accessibility (compliance)” 56 percent; “Improve speed of access (customer service)” 52 percent; and, finally, “Improve searchability/findability of business documents (knowledge management)” 46 percent.
  • The three largest “barriers to greater strategic adoption of scanning and capture” were “Justifying the investment – demonstrating ROI,” 44 percent; “Resistance to change,” 40 percent; and “Still thought of as scan-to-archive, not scan-to-process” 40 percent.
  • 51 percent of respondents reported return on investment (ROI) on scanning and capture investments within 12 months or less, with an additional 18 percent reporting ROI within 18 months.
  • 66 percent index and store scanned images and electronically generated files in the same system.
  • 80 percent of respondents do not store “significant numbers of scanned images” in SharePoint.

Quickly Scan Your Documents with the ApplicationXtender Capture Package

Among the thousands of ApplicationXtender implementations there are hundreds of capture solutions being used from 3rd party manufacturers or custom solutions. Among the most common tools for desktop scanning is Image Capture (formerly known as scanxtender). EMC World Overview

Thousands of EMC customers and partners attended EMC World in Boston May 10th - 13th and had the opportunity to attend 91 presentations on Documentum and 2 presentations on ApplicationXtender. EMC's Content Management and Archiving (CMA) family of products (which includes Documentum, Captiva, and ApplicationXtender) has been changed to the Information Intelligence Group (IIG). While the overall them of EMC World was "Journey to the Private Cloud", the theme for Documentum was the xCelerated Composition Platform (xCP) which is a combination of Business Process Management, TaskSpace, and Forms Builder Tools. See the following article in this newsletter for more details on xCP.

Many feel that Centerstage still lacks some of the document management functionality found in Webtop and some collaboration features the eRoom provide. EMC continues to focus development on Centerstage which has now been available for two years in limited and wide release. Next year EMC plans to make the SDK for Centerstage available which should lead to a much wider adoption among Documentum customers.

Overall, Documentum and ApplicationXtender were not the major focus at EMC World which is why Portford provides our customers regular webex seminars, a content rich support portal, and our blog keep our customers current on the issues and products that concern them the most.

Webinar: Turn SharePoint Plans into Reality with DocuNECT

Over 70% of participants in a recent AIIM survey indicated that their companies currently use or have immediate plans to use SharePoint 2007/MOSS for Collaboration/workspaces and Document management (check in/check out). Keep Track of Capture with the DocuNECT Dashboard

Portford is pleased to announce the release of the DocuNECT Capture Dashboard (v2.3). The dashboard provides a complete summary of the entire DocuNECT system, including:

1) Alerts for system issues, such as connectors that are not active or running, connectors that have an error, and batches that have errors.

2) Status information can also be emailed. If the email function is switched off an email will still be received if any system issues are found. The email distribution can have multiple email addresses.

3) Provides a System Issues summary section at the top of the HTML and Email that provides areas that contains issues.

4) Monitors storage space, providing a warning if any of the storage locations have less than 25% capacity free.

5) Reports the current version of the database and CaptureLifecycle runtime as well as displaying latest released version from Portford's web site.

6) Deletes connector logs before a certain number of days to allow a rolling window of connector logs to be kept.

7) Backs up configuation information. All the Cabinets, CaptureLifecycles, and all the "Last Run" Connector Logs. These are also included as attachments on the status email to allow this to be forwarded onto support if required

Electronic Document Capture on the Rise

Historically paper has been the primary source of document transfer between employees, customers and business prtners. Recent studies have shown that the use of electronic documents are on the rise. Whether it is a contract, an invoice, purchase order, order form, or any other document, it makes sense to transfer these documents electronically as it can help to speed up the underlying business processes.

Thanks to our customers and partners, Portford was fortunate to experience tremendous growth in 2009 and we look forward to continued success as we celebrate our 10th anniversary. Each year Portford has expanded the range of services delivered and in an effort to maintain quality in each area we have re-organized into three business groups:

Information Rights Management In EMC ApplicationXtender 6.5

EMC is expected to announce general availability of ApplicationXtender 6.5 in April 2010. Among the most exciting new features available in 6.5 is embed ed Information Rights Management (IRM). IRM allows dynamic control and management of information by enabling content owners to decide who gets to view, edit, print or email documents and who does not. Now integrated into ApplicationXtender 6.5, IRM polices can be configured in App Gen (AX Administration) providing dynamic control of your organization's content even after it has left the corporate firewall.

Benefits of IRM for ApplicationXtender:
Persistent protection — Ensures that documents, messages and attachments are protected at rest, in transit and even after they're distributed to recipients.

Dynamic policy control — Allows content owners to define and change user permissions (view, forward, copy or print) and recall or expire content even after distribution.

Turn Your SharePoint Plans into Reality with DocuNECT

Since 2001 Microsoft SharePoint has been widely adopted as set of Web-based productivity, collaboration and productivity tools, as well as a platform upon which companies can develop line-of-business applications. Over 70% of participants in a recent AIIM survey indicated that their companies currently use or have immediate plans to use SharePoint 2007/MOSS for Collaboration/workspaces and Document management (check in/check out). File share replacement, scanning/imaging, and email management applications were significantly lower priority SharePoint applications according to those surveyed. SharePoint can be used for collaboration "out-of-the-box" but many organizations struggle with leveraging the platform for managing transactional content, records, and emails with traditional capture solutions.

In response to customer demand, Portford has integrated SharePoint distribution in our award winning DocuNECT electronic capture platform. DocuNECT can automatically capture electronic files from Folders, FTPs, sFTPs, email, fax servers, and apply your business rules to distribute documents and data directly into SharePoint. Product Update: DocuNECT and Documentum ApplicationXtender

Portford has extended the integration with Documentum's ApplicationXtender (AX) product, adding the following features:
  • The distribution from DocuNECT to AX support multiple indexes per document
  • COLD documents can now be exported along with image and foreign file documents
  • Documents can be exported from an AX search, a saved query. In addition DocuNECT will update an index value to keep track of the documents as they are being exported

Kofax 9 Released

In January, Kofax announced the release of the latest version of it's popular Capture software, formerly know as Ascent Capture. Capture is commonly used to scan, index, and distribute documents in to ApplicationXtender and Documentum. The following are among the features available in Capture 9.0:
  • Remote Site High Availability. Provides automatic fail over for remote site licensing resulting in increased reliability and business continuity
  • Additional Recognition Language Support. Now supporting Simplified Chinese (Simplified and Traditional, Thai, Japanese, Korean, Hebrew, and Yiddish to accommodate globalization
  • Automatic Customization Deployment. Makes it easier to deploy and install Kofax Capture customizations to stations and remote sites to reduce deployment and support costs
  • MSI Based Installer. Ability to choose to use either setup.exe installer or new .MSI based installer to easily deploy and manage Kofax Capture software and patches

AIIM Study on Capture: Local, Central, Outsource - What's Working Best?

AIIM (www.aiim.org) is the community that provides education, research, and best practices to help organizations find, control and optimize their information. For more than 60 years, AIIM has been the leading non-profit organization focused on helping users understand the challenges associated with managing documents, content, records and business processes.

This survey was taken by 882 individual members of the AIIM community between November 3rd and November 17th, 2009, using a Web-based tool. Invitations to take the survey were sent via e-mail to a selection of the 65,000 AIIM community members. information and records management professionals, IT staff and line of business executives. Here is a summery of some interesting findings from this survey.

- Centralized in-house scanning and mailroom scanning are set for a considerable growth in take up compared to outsourced scanning and capture.

- Distributed scanning on MFPs is set for some growth compared to desktop scanning.

- Also set for a considerable increase is automated recognition via OCR, ICR, etc and automated classification.

- Despite the long term preferred strategies, sales next year of dedicated scanning hardware is set to drop, with MFPs just holding their own. Capture software and modules are the only areas of spend set to rise.

- Knowledge management in the form of improved searchability of business documents is the highest driver for scanning, closely followed by compliance and business process improvement.

- 46% of users report ROIs within 12 months, with two-thirds seeing returns within 18 months. These are consistent across many types of content and process, with invoices, contracts and application forms being the most popular.

- Legal admissibility of scanned documents is still seen as an issue in over a quarter of businesses.

- 30% of the sample use outsourced services, citing “No staff management overheads” as the main benefit, along with cost per scan.

- Integrating the scanned files back into the internal system is a bigger outsourcing issue than security breaches or lost documents. Quality of indexing is an issue for 30%.

- 48% of respondents have a centralized, in-house scanning service, citing better indexing and closer integration with the process as the main benefits.

- Meeting demands for fast turnaround is given as the biggest issue with central scanning operations, followed by logistics and space problems.

- 78% of those surveyed have some form of distributed scanning via MFPs, desk top scanners or branch-office scanners. Ownership of the process by the line of business owners is given as the main advantage, as well as improved utilization of MFPs.

- The biggest drawback of distributed scanning is training staff to index properly and maintaining quality of indexing over time.

- Whilst 32% of organizations report that the consumption of paper and/or number of photocopies is still increasing, this is equally balanced by those who feel it is decreasing.

- 25% of scanned documents are photocopied prior to scanning. Only 31% of scanned documents are destroyed after scanning, with a further 32% being archived off-site.

- Only 38% of paper-originated records are scanned and archived electronically.

- 51% of scanned documents are 100% “born digital”, i.e., come direct from a printer.

- 37% of organizations are scanning over half of their incoming documents. 12% scan more than 80%.

- As regards accurate recognition and capture, on average 6.5% of scanned documents are rejected at QA or require intervention.
